Equipment Tracker: HVAC CMMS

Photograph an HVAC nameplate and AI reads it for you — model number, serial number, voltage and electrical specs land in the equipment record in seconds, no typing on a ladder.

Equipment Tracker is HVAC maintenance software and a CMMS in your pocket: asset tracking, equipment maintenance history, preventive maintenance schedules, work orders, parts inventory, and invoices your customers can pay on the spot. Organize commercial HVAC, appliances, electrical panels, plumbing, or industrial machinery by building and location.

KEY FEATURES

• AI Nameplate Scanning — Point, shoot, and AI reads the specs. Needs an internet connection.
• Work Orders & CMMS — Repair status, priorities, logged hours, and parts used.
• Preventive Maintenance — Recurring PM intervals, each reminder set on its own, auto-logged.
• Invoices & Payments — Bill the job from the work you logged. Customers pay by card, bank, PayPal, or Venmo.
• Parts Receipts — Scan the supply-house receipt and the parts go on the customer's invoice.
• Maintenance Plans — Build a plan and your customer accepts and signs it online.
• Tenant Door Tags — Tenants scan to request service and see recent service.
• Team Workspaces & Roles — Share live building data across your whole crew, with role-based permissions.
• Vendor QR Check-In — QR door signs with visit history.
• Refrigerant Leak Rate — Leak rate calculator and compliance reports (US EPA §608).
• Equipment & Asset Tracking — By building, floor, room, or roof, with photos.
• Replacement Parts — OEM part numbers, filter sizes, belt sizes, and supplier info on each profile.
• Site Inventory — Filters, belts, refrigerant, and consumables per building.
• Professional Reports — Load schedules, equipment summaries, and PM checklists.
• Cloud Backup & Sharing — Back up, restore on any device, or push data to another tech.
• Works Offline — Your records stay available with no signal. Sync and AI resume when you reconnect.

PREVENTIVE MAINTENANCE & WORK ORDERS

Schedule preventive maintenance per unit or building — filter changes, belt changes, coil cleanings — and get reminded before it is due. Turn a callback into a work order in a tap: set priority, log hours and parts, close it out at the unit.

GET PAID BEFORE YOU LEAVE

Turn a finished job into an invoice. Show a QR code or text a link, and the customer pays by card, bank, PayPal, or Venmo. Card and bank payments go to your own Stripe account.

WORK AS A TEAM

Invite your crew into one shared workspace that stays in sync as the work happens. Owner, Manager, Tech, and Viewer roles control who can change what.

WHO IT IS FOR

• HVAC, plumbing, and electrical technicians
• Facility managers and building engineers
• Property management companies
• Maintenance companies and landlords
• Homeowners tracking their own appliances

FREE TO USE
