CoalTrack Attendance & Payroll

CoalTrack is an attendance and payroll app built for coal-mining operations in Indonesia. One app for field workers and for HR, with tamper-proof attendance and payslips computed automatically from attendance. Your company is onboarded by us; employees sign in with the phone number and password HR gives them.

CLOSE THE ATTENDANCE-FRAUD GAPS
• Server time, not phone time. Present/late decisions use the server clock, which employees cannot change.
• Working-hours window enforced by server time. Check-in opens and closes at the hours your company sets; arriving after the cutoff is recorded as late, even with no signal.
• Real GPS is required, with fake-location detection. Work sites with a radius: HR sees the distance to the nearest site and can reject check-ins outside it.
• One device per employee. A replacement phone waits for HR approval.

Every check-in is stored as a permanent, append-only log — strong evidence at audit time.

BUILT FOR THIN SIGNAL AT THE PIT
Attendance taken without signal is kept on the phone and sent automatically as soon as the network returns; the app shows how many entries are still waiting.

LEAVE WITH OFFICIAL LETTERS
• Annual leave, permit, sick, business trip and work-from-home requests from the app, with attachments.
• Approved requests get a numbered official letter on company letterhead (PDF) — travel assignment, leave certificate, permit, sick leave, work-from-home authorization.
• Approved trips and WFH count as present and may check in from anywhere.

AUTOMATIC PAYROLL — BPJS & PPh 21 TER
• Base salary never cut for lateness; lateness and absence reduce the attendance allowance (or, if your rules say so, a daily rate per PP 36/2021).
• Monthly, daily and hourly pay schemes; overtime tiers per Kepmenaker 102/2004; night-shift and production incentives.
• BPJS Ketenagakerjaan & Kesehatan and PPh 21 on the TER scheme, with the PPh 21 export in Coretax format.
• Letterheaded PDF payslip, sent to each employee's email (password-locked).

FOR EMPLOYEES
• One-tap clock-in with real GPS — no photo, no camera.
• Attendance history per day with decision status and distance to the work site.
• Payslip with full breakdown + PDF download.
• Leave requests, remaining quota, official letters.
• Update notices inside the app.

FOR HR & MANAGEMENT (WEB PANEL)
• Dashboard: who is on site now, present and late today, attendance trend, contracts about to expire.
• Monthly attendance recap per division with Excel export.
• Leave approvals, device management, employee directory and CSV import.
• Work schedules and work sites, versioned by effective date.
• Payroll run: compute → review → finalize → PDF slips → email.
• Contract-expiry reminders for fixed-term employees.

DESIGN & LANGUAGES
• Dark theme (navy + amber) and light theme.
• Phone, tablet and laptop layouts.
• 7 languages: Indonesian, English, Malay, Chinese, Arabic, Thai, Filipino.

SECURITY
• First sign-in with a password, then unlock with Face ID / fingerprint.
• Sessions are encrypted and bound to the device.
• Data stored in our infrastructure provider's data centres in Singapore and/or Indonesia, with encrypted backups in the same region.
